Shipping
Packages may be delivered to the Hotel no earlier than two working days prior to the meeting start date. Collateral and materials received prior to three days before the start date of the event will be assessed a $5.00 per box per day storage fee OR $100.00 per day flat rate per pallet. Storage charges are subject to 6% tax. If boxes are left after the event longer than three days, this storage fee will also be assessed.

It is IMPORTANT that the company name on the package matches the company name we have listed.
Customers are responsible for return shipping of all packages – C.O.D. or prepaid only.
There is a charge for the handling of all boxes and packages shipped to and/or from the hotel:
0-5 lbs. $6.00/Box
6-15 lbs. $10.00/Box
16-49 lbs. $16.00/Box
Over 50 lbs. $25.00/Box
Pallets $125.00/Pallet
These charges apply both in and out. Handling charges are tax exempt.
Packages that are shipped to individual guest rooms through outside delivery services are assessed a handling fee of $12.00/package.
Package Delivery for Move-in and Load-in/Load-out Instructions
Packages delivered to the hotel in advance will either be delivered to the exhibit hall for move in on Friday or exhibitor representatives may ask hotel staff for the packages upon arrival.
For unloading on Friday and loading out on Saturday, exhibitors can use the front drive for smaller packages. Once unloading is complete, exhibitors are required to move the car and then setup the exhibit.
For larger loading/unloading exhibitors should use the side entrance in the alley next to the hotel. Upon arrival, vendors are required to sign and receive vendor badges. Exhibitors will enter via the 2nd floor Employee Entrance Staircase, located between the hotel and Garage E. Please call 703-893-1234 Ext. 6355. The hotel security team will grant access and vendors will sign in to receive vendor badges. All load in/out must take place via the side entrance double doors at the bottom of the alley, same alley where Employee Entrance is. This entrance leads right to the Ballroom back of house as well as the service elevators to 2nd and 4th floor. Security will disarm the alarm on the double doors. The side entrance doors may not be propped open for the entirety of the loading period. We recommend unloading the truck and into the back of house all at once before taking items directly to the meeting spaces. It is prohibited to load in/out through the Front Drive – either the Glass doors in the Ballroom Foyer or the main Front Entrance.
Outgoing Packages
During exhibit move out on Saturday, exhibitors are responsible for packing and labeling outgoing shipments. Carrier pick up must be scheduled by the exhibitor prior to leaving the packages in the exhibit hall. Hotel staff will move the outgoing shipments to the loading dock for pick up.

Lead Retrieval
We are offering eShowLeads from Event Technologies, a trade show lead retrieval application that lets exhibitors collect leads using their Smartphone.
eShowLeads allows the user to easily collect attendee contact information, add notes and record answers to qualifying questions all on the exhibitor’s smartphone.
